As SECURE’s very own, Dave Engel (EVP, New Ventures) says, “facility orientations are the most important conversation you will have while on any SECURE ENERGY site.”

This statement rings true to SECURE’s safety culture – it’s something that we take pride in.

When the COVID-19 pandemic hit in March 2020, SECURE (like many other organizations) was forced to re-evaluate the process in which facility orientations were delivered. Something that had been done face-to-face our entire 14 years needed to adapt to the ongoing pandemic.

This is how the rollout of SECURE’s virtual facility orientations came to be.

Dustin Moodie, GM Operations, was considering where and how his team needed to adjust their current operations practices. First thing that came to mind was SECURE’s facility orientations. Moving orientations to a virtual setting was a natural choice.

 

 

Looking back, Dustin recalls:

“SECURE needed to standardize our orientations to ensure the same consistent messaging was being communicated across all facilities. We also wanted to decrease the workload of our frontline workers so they could focus more on value added activities. Another added bonus was that this initiative would save our customers time and money waiting in line.”

Although the idea started with Dustin, moving facility orientations to an online platform required support from all areas of the business. Marvin Wong, GM Operational Excellence, was an early team addition to the project and quickly reached out to Mona Khorassani, HR Business Process Analyst, for support.

“From the get-go, I was keen to support this project by creating a simple PowerPoint document,” says Mona. “As I started to learn about the scope, impact and the complexity of this project, I was excited to realize it was much bigger than I originally thought.”

“I thought I was delivering French fries and Marvin wanted the full meal deal,” adds Mona.

With over 50 facilities across Western Canada and North Dakota, orientations are needed to provide organizational safety information including ERP (emergency response plan), spill and first aid response, as well as facility specific information.

For clarity, the orientations (for contractors, vendors and drivers) were broken out to suit the needs of the individual taking it so that the right information was delivered.

One orientation was tailored for contractors working on SECURE sites and laid out all applicable roles and responsibilities required for them to safely complete the work.

Two additional orientations were made for our drivers based on the facility type.

  1. Fluids for Disposal Sites: which covers all water tank trucks, vac trucks and oil tank trucks.
  2. Solid Waste Disposal Sites: for end dumps and leachate tank trucks.

Both orientations (listed above) cover the roles and responsibilities required at each facility, such as:

  • Offload Procedures
  • Spill Response
  • Emergency Preparedness

In order to properly execute, it was vital to include individuals across the organization. Everyone involved needed to learn and understand the content, which cascaded into learning about field operations and some of the things they go through day to day to keep our business running.

Carole Arrieta, Senior Operator, works at SECURE’s Saddle Hills Landfill where operations continued to be busy throughout 2020. This process was hugely beneficial in preventing long line ups.

“Making sure this project was done right was hugely important to me,” says Carole. “Mainly because safety is so important to us, but it also has an impact on the people that are visiting site. The new virtual orientations have made the overall process much smoother.”

Orientations are all hosted in ComplyWorks and can be accessed two ways:

  1. Via an email that is sent out to SECURE’s dispatchers with a link to the orientation page.
  2. Via QR code. Dispatchers simply scan the QR code (found on posters at all our facilities) and are taken to the orientation page on SECURE’s website.

The success of this project has solely derived from the cross-functional teamwork over the past year. Every part of the organization was involved in one way or another, from:

  • Field Safety Advisors – Including Dennis Niven, Ken Swyripa, Brad Bancroft and Josh Fox
  • Operations Managers – Including:
    • Matt Kuehl, Carole Arrieta and Rod Friesen
    • Scott Moe and Mike Brodie who we're hugely involved during piloting of this project. As the project grew, they both provided valuable feedback that further streamlined the process before going live
    • Aaron Woods, who had the excellent idea of using QR codes to find the orientation website when at a SECURE facility
  • Area Sales Mangers – Including Ryley Pierson, Les Kohle, Pat Coffey and Sarah Meeks
  • Operators – Including Marc Whidden, who created small business cards with key points that would help with the familiarity and understanding of the new process
  • Operations Excellence – Including Marvin Wong
  • Marketing & Communications – Including Scott Kingsmith and Katie Duke
  • Human Resources – Including Mona Khorassani
  • Information Technology – Including Marvin Ing, David Mockford, Jason Campbell and Saad Raja
  • Supply Chain – Including Ally Herauf

“This is a differentiator for SECURE because we can and do work together to make meaningful change,” says Mona. “Projects like this should motivate our workforce and our future workforce to keep working together to challenge what’s possible.”

At the end of the day, the success of this project isn’t solely about a tool.

The success of projects like the Virtual Facility Orientation should focus on how we can continue to make meaningful changes to how we do work, with a forward looking mindset.
